Conference Protocol & Guidelines
To ensure a smooth, professional, and enriching experience for all participants, the 8th Biennial Rex Nettleford Arts Conference (RNAC 2025) follows clear guidelines for presenters, chairs, and attendees.
General Etiquette
- Arrive on time for all sessions.
- Mobile devices must be silenced during presentations.
- Respect presenters’ speaking time and audience engagement.
Presenter Guidelines
- Presenters should arrive 15 minutes early to check audio-visual needs.
- Standard presentation time: 15–20 minutes (unless otherwise advised).
- Provide slides or handouts in advance for accessibility (PDF format preferred).
- Acknowledge time signals from session chairs.
Panel Chairs / Moderators
- Ensure sessions begin and end on time.
- Introduce speakers briefly (affiliation + paper title).
- Manage Q&A, encouraging inclusive dialogue.
- Intervene politely if discussions run over time.
Timekeeping
- Each presenter: 15–20 mins
- Q&A / Discussion: 10–15 mins
- Chairs will give 5-minute and 1-minute warnings.
Recording & Media
- Select sessions may be recorded for RNAC archives.
- Flash photography during performances is prohibited.
- Participants may share insights on social media using hashtag #RNAC2025, but must not livestream without special permission or media accreditation.
Accessibility Protocols
- Venues will provide wheelchair access where possible.
- Sign language interpretation available for plenaries. (this would be good)
- Large-print materials available upon request.
Health & Safety
- Emergency exits will be clearly marked.
- First aid station available on-site. (we need to arrange this)
